How we store and use data

Here is information about which kinds of data we retain, how we use and store these data, and your rights under the EU’s General Data Protection Regulation.

Which personal data do you store?
When you contact us, we store personal data such as your name, address, email address and telephone number. Additionally, we store documents that you upload to our customer portal.

If you subscribe to our newsletter, we store your email address in MailChimp.
What do you use personal data for?
We use personal data to provide you with quotations, carry out assignments you order and to invoice for these assignments.
Where do you store personal data?
Personal data is primarily stored in our project management tool XTRF. This system is operated by the developer XTRF Management Systems S.A., who are based in Kraków, Poland. The system is secured and encrypted using the SSL/TLS protocol.

Data you provide to us through forms on our website are stored in a database on our web server. The web server is secured using the SSL protocol.

Emails and email attachments are stored on a separate email server operated by Google.

While carrying out assignments on your behalf, work documents are stored locally on each individual consultant’s PC. All consultants are either permanent employees of Totaltekst or affiliated contractors. Work documents are locally deleted from PCs as soon as the assignment is complete.

What IT security procedures are in place?
Our project management tool (XTRF) is secured using SSL/TLS protocols. Our local PCs have encrypted hard drives and are secured with administrator passwords.
How long do you store personal data for?
Personal data is stored for two years, unless otherwise agreed. Personal data that we are legally required to retain for longer (such as accounting data) is stored for the period established by law.
Do you share personal data with third parties?
No, we do not share personal data with third parties. The exception to this is if we are obliged to do so by the Norwegian authorities, for instance as the result of a legal judgement.
What are my rights?
You are entitled to:
  • Access to any of your personal data that we hold
  • Request that we correct incorrect data
  • Request that we delete your data
  • Request that we restrict the processing of any stored data
  • Protest against our processing of your personal data
  • Request that we do not use automated software to make important decisions relating to you
  • Request a copy of any data we hold on you
If you contact us in order to exercise your rights, we will fulfil your request free of charge and within 30 days. A more detailed overview of your rights is available on the Norwegian Data Protection Authority’s website.

We use cookies to analyse traffic on our website by using Google Analytics, in order to optimise the page for your operating system and web browser, and to target marketing (banner adverts through Google Display Network) at users who have visited our website.
